Borrowing the Libraries' Materials - Loan Details
Due Dates
Check your UT Libraries My Account online to determine the due dates of items you have checked out or call 865-974-4351, Ext. 0.
If you have an e-mail address the library will send e-mail Courtesy notices before items are due.
The library will send a notice after an item becomes overdue.
A book which has been recalled from you becomes due ten (10) days from the day it was recalled. The library will send a notice to inform you of a recalled book and the new due date.
Loan Periods
Regular Books
- Undergraduate Students - 4 weeks
- Graduate Students - 16 weeks
- Faculty ans Staff - 52 weeks
- Non-UT Borrowers (Affiliate, Subscriber, Courtesy and TBR Cards) - 4 weeks
Children's Books
- All Borrowers - 28 days
Periodicals
Current & Bound periodicals are located in the stacks
- Students, Faculty, and Staff - 7 days

Reserve Materials
- Nocirc -- These materials cannot circulate and must be used exclusivley in the library.
- 2hour/ Overnight -- These materials circulate for 2 hours during most of the day. They can be checked out for overnight use during the last 2 hours of the library's operation; they are due one hour after the library opens next. We use the library's hours because the reserve department stays open most of the time.
- 1 day -- These materials circulate for 24 hours from the moment they are checked out.
- 3 day -- These materials can circulate for 3 days.
- 7 day -- These materials can circulate for 7 days.
Renewals
Materials can be renewed in person, by bringing them to one of the circulation desks.
You can also renew materials remotely; two options are available:
- By logging on to your account in the online catalog. (See other functions of "My Account" here.)
- By phone (865-974-4351 ext. 0).
Limitations to remote renewal are listed below:
- Regular Books
- Undergraduate Students - 3 remote renewals
- Graduate Students - 1 remote renewal
- Faculty and Staff - 2 remote renewals
- Bound Periodicals from the stacks - 1 remote renewal for all borrowers.
- Children's books - 1 remote renewal for all borrowers.
- Reserve Materials - No remote renewals.
Materials can be renewed before their current due date; the new due date will be calculated from the date the material is renewed.
If an item has been requested by another person, you may be informed that it cannot be renewed.
Returning Loans
You may return your books to the book return at the circulation desk of Hodges Library or any UTK library branch. In addition, there are two remote return locations. There is a return box at the University Center and one at Presidential Court. Books returned to either of these locations are picked up Monday through Friday after 3:00 p.m.
Note:
Reserve items, current periodicals, equipment from the Studio and materials from the Map Library, should be returned to the desk from which they were checked out.
Interlibrary Loan materials should be returned to the Hodges Main Circulation Desk.
Also:
UTK library books should not be returned to other libraries, including public libraries and other college or university libraries. Books returned to a library other than a UTK library will not be checked in until we actually receive such books and the borrower is liable for any fines that may accrue.
Overdue Fines
Fines may be paid at the Second Floor Circulation Desk of Hodges Library or at the AgVetMed Library. You may pay fines and fees with credit card, debit card, VolCard, check, and money order. Hodges Library no longer accepts cash for fines or fees.
Some fines may also be paid at the Bursar's Office on campus or via the web at Circle Park Online. Call Hodges Circulation at 974-4351 for more information about paying fines.
- Regular Books, Periodicals, and Some Media - No Fines
- Recalled Items: Books, Bound Periodicals, and Some Media - 50 cents per day
- 3 Day Media Center Materials - 25 cents per hour
- Studio Equipment - 25 cents per hour (plus a $20 nonrefundable processing fee)
- Loaner Laptops and Commons Equipment - 25 cents per hour
- Reserve Materials
- Nocirc - 25 cents per hour
- 2 Hour/Overnight - 25 cents per hour
- 3 Hour - 25 cents per hour
- 1, 3, or 7 day - $1 per day
The maximum fine accruable on any one item is $20 (with the exception of Studio Equipment).
Borrowers will be blocked from borrowing additional library materials when they have accumulated $5 in fines or other outstanding library obligations. Failure by University of Tennessee students to pay fines or other outstanding obligations will result in the withholding of registration or transcripts.
A similar failure on the part of borrowers not affiliated with the University may result in the suspension or revocation of borrowing privileges.
Paying Fees & Fines
You may pay fines and fees with a credit card, debit card, VolCard, check, and money order. Hodges Library no longer accepts cash for fines or fees. Notices
A "coming due" notice is sent only by e-mail before an item is due. An overdue notice is sent within a few days after an item is due. After 40 days a second overdue notice is sent. After an additional 40 days the item is considered lost and a bill for replacement is sent.
Notices are also sent to inform you when a book you have checked out has been recalled, and when a book you requested is available to be picked up.
Notices are sent via e-mail to all borrowers with valid e-mail addresses, or regular mail if the library does not have an e-mail address on file. Borrowers have a responsibility to notify the library of address changes, including e-mail addresses.
You can update your addresses in person at the Circulation Desk, or via the My Account function of the online catalog. There is also a change of address form online which you may use..
Most notices are sent as a courtesy. Failure to receive a fine or overdue notice does not relieve the borrower of responsibility.
Lost Items
When items are long overdue, UT Libraries declares them lost and issues a bill for replacement. When the item is returned, the bill is canceled. Any accumulated fines remain.
- Equipment - declared lost after 2 days overdue
- Music Media - declared lost after 10 days overdue
- Books, Periodicals, and all others - declared lost after 21 days overdue
