Storage/Preservation Shelving PlanJanuary 2000

For ongoing shelving of materials in the Storage and Preservation
collections, we are creating an additional library "collection," Storage
2. Storage 2 will be a second storage call number sequence will be shelved
on the third floor of Hoskins library. The "Closed Stack" designation in
Horizon will include Storage 1, Storage 2, Preservation and Brittle Books
awaiting decisions in Hodges 310. Shelving of the Storage 2 materials will
begin immediately following the Preservation collection; materials will be
spread in call number order across all remaining available shelves to the
beginning of the existing Storage collection for Agriculture-Veterinary
Medicine.
We will do the following to implement the plan:
- CDM will create a spreadsheet identifying the initial items to be
placed in Storage 2. The list will include title, call number, holdings,
current location, and linear feet of items to be moved. Items will
include Storage 2 materials temporarily shelved on the ground floor of
Hoskins, materials identifed as Storage in the existing Preservation
collection, and any other materials in the Hoskins third floor stacks that
are not currently designated for Ag-Vet Med, Music, Preservation, or
Storage 1.
- CDM will collaborate with Library Support Services to remove withdrawn
materials from Hoskins.
- Circ Services will provide measurements for items on the list.
- CDM will clean the shelves in Storage and Preservation before
materials shifting begins.
- Circ Services will determine appropriate shelving space to be
allocated for each class number in Storage 2.
- CDM and Circ Services will collaborate on shifting of materials.
- Once materials have been moved into Storage 2, CDM will provide a
list for Cataloging to update the materials location in the catalog.
- Cataloging will update the catalog.
- CDM will label materials in Storage 2, so that they can be returned to
the correct collection after circulating.
- CDM and the Preservation Matrix will design procedures for future
transfer of materials into the Storage and Preservation collections.
- Circulation will retrieve, shelve, and shift materials in Storage 1
and 2 as necessary. Special Collections will retrieve and reshelve
materials requested from the Preservation Collection. CDM will shift and
shelve materials in the Preservation collection as necessary.
