Withdrawal of Library Materials
Purpose of Procedure:
To remove books, journals and other materials no longer needed from the Library collections.
Selection Criteria:
The most common reasons for withdrawal are obsolescence, duplication, lack of use, poor physical condition, or some combination of these factors. See the Criteria for Storage and Withdrawal of Materials for more details.
Responsibility:
All withdrawals must be authorized by the appropriate Subject Librarian. Subject Librarians may consult colleagues, library representatives, faculty, and CDM staff as necessary and appropriate. The Subject Librarian may consider transfer in lieu of withdrawal, especially for materials from branch libraries or Reference. Large-scale or special-purpose withdrawal projects should be discussed in advance with CDM and Cataloging staff to allow planning for appropriate work flow.
Procedures:
- Piece is identified for withdrawal for any of the reasons listed on the Withdrawal Form. If the item is a federal document, please contact the Government Documents Librarian.
- The Subject Librarian signs and dates a withdrawal form for each item. If a multi-volume set is being withdrawn, the Subject Librarian completes one withdrawal form for the set. The volumes of the set must be kept together through the withdrawal process.
- Piece is sent to TSDA (Cataloging) for withdrawal. Consult TSDA (Cataloging) for large withdrawals.
- Withdrawn items are shelved in room 310 to be reviewed by Collection Development for possible inclusion in the book sale.
