How to Order or Cancel a Journal, Serial, or Electronic Resource

How to Order a New Subscription for a Journal, Serial, or Electronic Resource

(Note: In general, journals publish several issues per year and are paid for in advance. Serials are usually issued annually or irregularly and are paid for on receipt of the volume. Electronic Resource orders are for databases, aggregator services, or archival backfiles that include an ongoing/annual maintenance or access fee in addition to the purchase.)

New subscriptions may be ordered at any time during a fiscal year. The process is the same whether the format is print or electronic.

You may pay for backfiles out of restricted fund or funds other than the one used to pay for the current subscription.

Print out and complete a Serial and/or Online Journal Request Form, found on the Research Collections web site.

Have the Subject Librarian initial the form and send it to the Head of Research Collections.

If the request is for an electronic resource that you would like listed on the library's Database page, the form needs to be sent by your Subject Librarian to the Head of Research Collections.

When an order has been placed, the requestor will receive an e-mail from the Serials staff. (The status of a request can also be tracked on CDM1 (TS Serials Data).

How to Cancel a Subscription

Journal cancellations have a definite timeline. Consult the Journals Review Calendar for each year's deadlines and sequence of events. Because serials are not paid for by advance subscription, they may be cancelled at any time. The cancellation period for electronic resources may have a definite timeline since the access is for a specific period.

If you are uncertain whether a title is a journal or a serial, look at the acquisitions module in Aleph or contact your serials subject representative.

If you are planning major cancellations or a cancellation within a "big deal" package that has restrictions on cancellations, consult your Library Representative and the Head of Research Collections or Electronic Resources staff.

NOTE: Cancellations are for the next fiscal year. Be sure to consult the Journals Review Calendar for each year's deadlines and sequence of events.

Once you have finalized your list of titles to cancel, send it to Electronic Resources in TSDA. The list may be provided in paper or in an e-mail.

Unless you are cancelling subscriptions to meet a budget reduction target, the money freed by cancellation of the subscription is available for spending in the same fiscal year in which the cancellation was made.
