Grants Information and Suggested Timelime
You cannot start too early working on a grant idea!
3-12 months before deadline
- Explore the idea in discussions with the Library Grants Officer
- Outline the proposed project on paper
- Secure approval and support of supervisor, team leader, dean, and any partners
- Review funding source requirements carefully, usually set out in a Request for Proposals
1 month before deadline
- Write the proposal narrative. Library Outreach can assist with formatting, charts, and copy editing.
- Personnel
- For graduate students, confirm stipend levels, etc. with Library Personnel
- For staff, prepare a position description in consultation with Library Personnel, Team Leader, and the Dean
- Obtain approvals for human subjects or other compliance if needed
- Develop the budget
- Obtain accurate salary information for all collaborators
- Get full budgets with institutional approvals from all subcontractors (i.e., if some of the work is to be done at another institution
2 weeks before deadline
- Document Review/Approval Sheet - (The Yellow Sheet) - MS Word
- Document Review/Approval Sheet - (Instructions) - MS Word
- As soon as the Document Review/Approval Sheet and budget form are drafted:
- Get approval of Dean for any cost-sharing
- Work with the dean to negotiate the Facilities and Administration (indirect) cost rate as appropriate
- Get all needed signatures on the cover sheet
- Submit the signed and approved Document Review/Approval Sheet and budget to the Research Office for review
Final week
- The entire grant proposal should be submitted to the Research Office for approval at least three days before the deadline.
Due Day
- Make and send the appropriate copies to the funding agency in ample time for the proposal to reach the funding agency BEFORE the deadline. Send a full copy to the Dean of Libraries
